📳Session Scanning App

This page will walk you through the process of using the Noodle Live mobile app for session scanning at your event. Session scanning is a powerful tool to efficiently manage attendee check-ins and check-outs. Follow these steps to get started.

The process described below is applicable to all users assigned a Session Admin role on an event in the Noodle Live platform.

Session Scanning Overview

Step 1. Receive an email with app access credentials

A couple of days prior to the event you will receive an email with your login credentials to the scanning application, as well as instructions on how to download and access the app.

Step 2. Download the Noodle Live scanning app

Download the app by following the instructions in the email or by clicking on the links below depending on the operating system of your device.

For iOS devices, please download the app from the App Store.

* Compatible with iOS 14.0 or later

For Android devices, please download the app from the Google Play store.

* Compatible with Android 12.0 or later

Note: If you have hired equipment through Noodle Live, the scanning app will already be installed and available on all devices.

Step 3. Log into the app using your credentials

Open the app and you will land on the app home screen page. Navigate to the Session Scanning option in the app.

You will be prompted to login and access your Session Admin account.

You can login via two methods:

  • Username and temporary password provided in the received app access email.

  • Your unique QR Code available in the received app access email

Step 4. Change your app password and confirm that you have read the Scanner Operator Briefing

After entering your credentials, click the "Enter" button. You will be redirected to a page where you'll be asked to change your temporary password to a new one of your choice. This new password will be used for all future logins.

After selecting your new password, you will be logged into the app. You will also receive a quick Scanner Operator Briefing to familiarize yourself with the process.

Step 5. Select the location and session you will be scanning attendees in / out.

After you are successfully logged into the app, you will need to navigate to the correct session to start scanning:

1) Select the session location

2) Select the actual session

3) Select the scanning template - multiple templates might be available depending on the configuration

Step 6. Select the scanning mode

The scanning modes available in the app depend on the pre-event configuration in the Noodle Live platform. There are a couple of different options:

  • Only Check-In mode available

  • Only Check-Out mode available

  • Both - Check-In and Check-Out modes available

If both scanning modes are available, you need to select whether you would be checking attendees in or out of the selected session.

Step 7. Start scanning attendees in / out of sessions

The scanning landing page will display branded screen graphics and the name of the session you are currently scanning attendees for.

There are two scanning options available in the app depending on the attendees' badges:

1) NFC Scanning

In this case, the attendees' badges will contain an embedded RFID chip. To scan the attendee, tap the badge on the back of the device, where the device's NFC is located.

The NFC scanning mode is auto-enabled and there is no need to click the scanning button after each badge scan, you can directly move on to the next one.

2) QR Code Scanning

In this case a unique QR Code will be printed on the badge of the attendee. Click the QR Code scan button at the bottom of the screen and then scan the QR Code on the attendee badge.

Upon successful scan, a quick success screen will display and the total number of checked-in / checked-out people will increase.

Note that if you try to scan the same badge / attendee into a session more than once, the app will display a message letting you know that the attendee has already been checked-in / checked-out.

Step 8. Finish scanning

You can finish scanning for the selected session at any point in time by clicking on the double-checkmark icon at the top right corner of the app screen.

Once you click the icon, a confirmation pop-up will display - please click "Yes" if you would like to finish scanning or "No" if you would like to continue scanning.

Once you have finished scanning for the respective session, you can switch to another session or switch to a different scanning mode.

Advanced Scanning Modes

Depending on the configuration of the sessions in the Noodle Live platform, advanced modes can be enabled for all or selected sessions.

1) Capacity Control - allows for setting a maximum capacity for each session.

If Capacity Control is enabled, you will scan people into sessions normally until the set capacity is reached. If you scan an attendee's badge after a session has reached the defined capacity, the app will display a pop-up message informing you that capacity is reached.

You can still overwrite the option and decide whether you would like to allow the attendee into the session. In this case, please click on "Yes, proceed" in the pop-up window. Alternatively, please click "No, cancel" to enforce capacity control.

2) Access Control - allows pre-assigning attendees to sessions to enforce access management.

If Access Control is enabled, attendees will be pre-assigned to sessions they are allowed to attend.

If you check an attendee into a session they are allowed into, the scanning process will be conduct as normal - a success message will display and the number of checked in people will increase.

However, if you try to check an attendee into a session they are not assigned to, the app will display a message informing you that access for this session is denied.

You can still overwrite the option and decide whether to let the attendee into the session. If so - please click on "Yes, proceed". Alternatively, to deny access - please click on "No, cancel".

Scanning App Options

At any point while you are using the scanning app, you can open the side menu by clicking on the burger icon at the top left corner of the app. This will display all available app options and allow for easy navigation.

The following options are available:

  • Locations - redirects you back to the Locations view and allows for switching to a different location.

  • Sessions - redirects you back to the Session List view within the selected location and allows for switching to a different session.

  • Quick Data - provides real-time analytics for all sessions in terms of total number of checked-in / checked-out attendees, live count, walk-ins.

  • Settings - allows you to log out of the app, as well as contact the Noodle Live Support team in case you required assistance.
