📄Session Scanning Wizard

The first step in configuring your Session Scanning product is completing the Session Scanning Wizard. Here you will define your preferred session scanning modes and enable advanced session capacity and access control features.

To access the section, please navigate to the “Session Scanning Wizard” tab on the side menu, under the Session Scanning module.

Step 1. On the first page of the wizard, please select your preferred scanning mode:

  • Check-In: Scanner operators will be given the option to 'Check-In' attendees only on their device.

  • Check-Out: Scanner operators will be given the option to 'Check-Out' attendees only on their device.

  • Check-In & Check-Out: Scanner operators will be given the ability to 'Check-In' & 'Check-Out' attendees on a single device.

Note that if you select both, “Check-In” and” Check-Out” options individually (see example below), the scanner operator will be required to use separate scanning devices with the respective function enabled on each. While selecting the single “Check-In & Check-Out” option allows the operator to use a single scanner to perform both functions.

Once you have selected your preferred scanning mode, click on the “Next” button at the bottom of the page to progress to the next page in the wizard.

Step 2. Please select your preferred in-between session scanning option:

  • Rescan In Between sessions - attendees must be rescanned manually after each session. This option can only be selected with the “Check-In” scanning mode enabled.

  • Automatic Rollover Between Sessions - attendees who have not checked out will be automatically checked into the next session. This option can be selected if any of the scanning modes is enabled.

Once you have selected your preference, click on the “Next” button at the bottom of the page.

Step 3. On the third page of the wizard, you will need to define your preferred check-in settings - you can enable multiple options:

  • Display Current Location and Session - Displays selected location and session on the home screen for easy reference for the scanner operator.

  • Display Live Session Count - Displays the live session count from all scanners assigned to a specific session for the easy reference of the scanner operator.

  • Prompt if Attendee is already on location - Informs scanner operators that an Attendee has already been scanned on location, and provides them the option to check an Attendee out.

  • Enable Speed Scanning - Changes the duration of time the 'Success' screen stays on after a successful badge scan in order to speed up the process and prevent queue bottlenecking when there are a lot of attendees.

Once you have made your selection, click on “Next” at the bottom of the page.

Step 4. On the last page, you can activate advanced session control options:

  • Activate Session Capacity Control - Once enabled, you can define maximum session capacity when creating new sessions or uploading your session list in bulk.

  • Enable Session Access Control - Allows the pre-assignment of attendees to different sessions. Creates a prompt for the scanner operator if an attendee is not assigned to a specific session to either deny the attendee access or allow the attendee to check-in.

If you would like to make a change on any of your previous selections, click on the “Back” button at the bottom left corner to navigate back to the relevant page.

Once you are happy with your selected settings, click on the green “Submit” button to save your configuration preferences.

All your selections will be displayed on the overview page:

You can always start from scratch and re-do your scanning configuration by clicking the “Restart Wizard” button at the bottom of the page.

Once you have configured your Session Scanning Wizard, you can start uploading your sessions and locations list.
