📄Import Scanning Admins

Scanning Admins are dedicated session scanning operators - they are granted permission to scan attendees in / out of specific sessions during the event.

Scanning Admins will use the Noodle Live Scanning App to check attendees in / out of sessions.

Once you have uploaded your session list and configured your session scanning templates, it is time to upload your designated Scanning Admins list.

You can create new or edit existing Scanning Admins under the "Scanning Admins" section of the platform available under the Session Scanning module.

The page is separated into 3 sections:

  • Quick Actions - provides quick access to available scanning admins related actions.

  • Session Admins Imports - displays a collapsible list of all imports of admins lists.

  • Session Scanning Admins Lists - displays a list of all already added scanning admins with their details, as well as the options to manually edit their information, change their password, see a QR code containing their log in credentials, or delete the entry.

There are two ways to create your scanning admins list - by manually creating individual admins or by using the bulk import option.

Let's look at bulk uploading admins in more details below.

Download Upload Template

Prior to uploading your session admin list in bulk, as a first step, please download the upload template from the system.

1. Navigate to the "Scanning Admins" section under your event.

2. Click the “Download Upload Template” button available in the “Quick Actions” menu.

3. An excel template file, containing all relevant session admin fields, will be automatically downloaded to your computer.

4. Open the file and follow the instructions on the front page to populate the template.

5. Fill out the session admins details (mandatory details are marked with the * symbol):

  • Admin First Name - the first name of the session admin.

  • Admin Surname - the last name of the session admin.

  • Admin Email - the email address of the session admin.

6. Once the list has been completed, save the file and proceed to the next section to import your session admin list.

Import Session Admins

Once you have populated the session admins template file, please proceed as follows:

1. Click on the “Import Session Admins” button under the “Quick Actions” menu.

2. In the pop-up window, click on “Choose File”.

3. Locate and select the session admins file on your computer.

4. Click on the “Save” button at the bottom of the window.

5. Upon successful import:

  • A success message will be displayed at the top of the page.

  • The processed file will be added to the “Session Admins Imports” section on the page.

  • You will also receive a confirmation email with a summary of the processed data.

All newly created session admins will now be available under the “Session Scanning Admins List” at the bottom of the page.
