Once you have uploaded your exhibitor list and configured your scanner templates, the final step in the process would be to send an email to all event exhibitors with their access credentials to the Noodle Live Scanning Application.

The app will be used onsite to capture and grade leads, record lead notes, view real-time lead scanning data and more!

The App Access Email configuration, as well as the actual process of sending the email in bulk to all exhibitors is managed under the Email Management section in the platform.

To access the page, click the "Exhibitor Management" button found under the Email Management menu on the left-hand side of the screen.

Configure the App Access Email

As a first step, you will need to configure the email template you will be sending to all exhibitors with their Scanning App login credentials.

1. You can define a Sender Name in the "Email From" field

Please note that all emails generated in the Noodle Live Portal will always be sent from the following Noodle-domain email address: [email protected] and on behalf of the Sender you specify in the "Email From" field.

2. Update the Subject Line of the email - you can also use the already available default one.

3. A default Email Body will already be available for use. You can decide whether you would like to further customise the email template or directly use the default version.

You can use plain text or HTML code to design the email template.

To personalise the email body or subject line, you can also use the dynamic variable fields available on the page - just copy and paste the variable you would like to use.

When you are designing your email template, please make sure to input the dynamic variables for the App Store / Google Play application download links, as well as the unique login credentials for exhibitors.

  • App Store Link: {$ios_download_link}

  • Google Play Link: {$android_download_link}

  • App Login Credentials: {$login_creds}

4. Once you have designed your email template, click on the "Save & Preview" button available on the right hand side of the page.

This will generate a preview of the email on the right hand side of the page under the "Preview" section.

You can also use the "Send a Test Email" option at the bottom of the page to send a test email to yourself or a team member to preview the email directly in your inbox.

  • Just populate an email in the field and click the green "Send" button.

Once you are happy with your email template, you can proceed to sending it to the list of available exhibitors.

Send the App Access Email

To send the email to all or selected exhibitors, just click the "Select Admins" button at the bottom of the page, below the "Preview" section.

A new pop-up window will open prompting you to select your recipient list.

You have several options:

  • You can select the Exhibitor Company(s) as the recipient under the "Exhibitors" tab - in this case the email will be sent to all exhibitor admins associated with the relevant company.

  • You can also select individual Exhibitor Admins as email recipients in the list by switching to the "Exhibitor Admins" tab on the page.

  • You can use the Search box on the page to find the Exhibitors or Exhibitor Admins in the list and select them upon filtering.

Once you have made your selection, please click on the "Send to Selection" button of the bottom of the page - the email will be sent to all your selected recipients and a success message will be displayed at the top of the page.

At the bottom of the page, under the dedicated "History" section, you can also view at any stage the email logs displaying the list of exhibitors / exhibitor admins who have been sent an App Access Email, when and by whom.

An extremely useful option is also the "Automatically send credentials to new Admins?" available under the Email Configuration Panel.

You can enable the option to ensure the App Access Email is automatically sent to every new exhibitor added onto the event.

Once the App Access Email has been sent out to all exhibitors, they would be able to download and access the Scanning Application and start capturing leads.
