📄Exhibitor Scanner Templates

The “Scanner Templates” section in the platform is where you can configure your scanners’ templates and upload the relevant screen graphics for all exhibitor devices.

Click on the “Scanner Templates” button under the Lead Capture section on the side menu.

The page is separated into two sections:

  • Quick Actions - allows you to quickly create a new template or clone an existing template to another event.

  • Scanner Template Library - lists all your available and previously created scanner templates.

Create New Scanner Template

To create a new scanner template from scratch, follow the steps below.

1. Click on the “Add New Scanner Template” button available under the “Quick Actions” menu.

2. Select your preferred Scanning Package and click on “Next”.

The Scanning Package will define the available lead capture actions such as basic lead retrieval, lead notes, lead grading and so on.

  • Basic Package - includes only the standard Lead Capture function.

  • Featured Package - includes advanced features such as Lead Grading, Lead Notes, Email Send and Document Share.

3. If you have selected the “Featured Package”, on the next page select all relevant functions you would like to enable. Click on “Next”.

  • Lead Grading - Enables one-to-five star rating for newly captured leads.

  • Lead Notes - Enables the option to input notes for each lead.

  • Send E-mail - Allows for automatically sending a pre-configured email to all or selected leads.

  • Document Share - Enables the option to select and send documents from pre-defined list as soon as capturing a lead.

If you have selected the "Document Share" function, the next page will prompt you to upload up to 5 documents that will be made available in the Scanning Application for the relevant Exhibitor to send out.

Upload at least one document in a supported format / extension and click on "Save & Continue".

4. Populate the name of the template into the “Template Name” field.

5. Assign the newly created template to the relevant Exhibitors. Click on “Next”.

  • You can either select the relevant Exhibitors from the “Exhibitors” table.

  • Or you can check the “All Exhibitors” box at the top right to auto-assign the template to the whole list of exhibitors.

6. On the next page you will see an overview of the scanner flow setup. Here you can upload your screen graphics and further customise the scanner functions.

In the Home Graphic box:

  • Click on “Choose File” in the Home Graphic box

  • Find and select your chosen screen graphic which will be displayed as the home / landing page prior to capturing a lead

  • Once uploaded, a preview of the graphic will be displayed

In the Select Function box:

  • Ensure the correct function is displayed in the first dropdown menu

  • In the second dropdown menu, define the status of the function by setting it as mandatory or optional

In the Success Graphic box:

  • Click on “Choose File

  • Find and select your chosen screen graphic displayed upon successful lead capture

  • Once uploaded, a preview of the graphic will be displayed

Once you have uploaded the screen graphics and configured the scanner functions, click on “Save & Continue”. A preview page displaying all enabled scanner template functions and uploaded screen graphics will be displayed.

If you are happy with the configuration, click on Save & Continue”.

A success message will be displayed and the newly created template will be available under the “Scanner Template Library”.

You can create as many scanner templates as needed and assign them to different exhibitors to personalise the lead capture experience.

Clone Template to Other Event

If you would like to use the same lead capture template on multiple events created under the same Event Group, you can easily clone a template from one event to another.

For the purpose:

1. Locate the template you would like to duplicate to another event

2. Under the "Quick Actions" menu, click on "Clone Template to Other Event"

3. In the pop-up window, first select the template from the available list you would like to clone.

4. Then, select the event you would like to copy the template to.

5. Once you are happy with your selections, click on "Clone".

The scanner template will now be available on the event you have selected during the cloning process.

Templates Settings

Once your scanner templates have been created, you can further manage each template by using any of the options described below.

Preview Templates

Clicking the green Preview button next to each available template will redirect you to the Scanner Preview page displaying the uploaded screen graphics as well as enabled functions on the respective template.

Edit Templates

To edit an existing template:

1. Click the yellow Edit button next to the template you would like to edit

2. You will be redirected back to the scanner template wizard. Click on “Next” to get to the page you would like to edit.

3. Update your screen graphics (if needed) and click on “Save” on the last page of the wizard.

The template will be updated under the “Scanner Template Library”.

Delete Templates

To delete a template:

1. Click the red Delete button next to the template you would like to delete

2. You will be asked to confirm your action.

  • Click on “Yes” to proceed with the deletion.

  • Click on “Don’t delete” to cancel.

The template will be removed from the “Scanner Template Library”.
