Let attendees share their contact details with a quick scan
Virtual Business Cards (vCards) are a simple, standardized way of sharing personal contact information via QR code. These can be printed directly onto badges, making it easy for attendees to connect at your event.
Important: The vCard QR code is different from the QR code used for check-in. It does not contain registration data and cannot be used for event entry.
How to Enable vCards
To start using vCards:
Go to Badge Personalisation for your event.
Choose an existing badge template or create a new one.
Click on the QR Code vCard field, to add it to your badge layout.
Position and resize the QR code as needed within the design.
Save your changes and continue with badge printing as usual.
Once printed, each badge will now include a unique vCard QR code linked to that attendeeâs contact info.
Need help creating your badge design? See the Badge Personalisation guide for step-by-step instructions.
What Data Is Included?
Scanning the vCard QR code will reveal a simple profile page with:
Full name
Job title(if known)
Company(if known)
Email address
Phone number(if known)
From there, anyone can tap âAdd to Contactsâ to save the details directly to their phone.
To ensure accurate display, simply make sure this information is populated for each attendee during setup.
How to Use vCards at Your Event
Once the badge is printed with the vCard QR code:
Attendees can show their badge to others during networking moments.
Anyone (including sponsors, exhibitors, and fellow attendees) can scan the QR code using a phone camera.
A clean, mobile-optimized profile page opens instantly.
Tap "Add to Contacts" to save the information.
Privacy & Compliance
Virtual business cards are built with privacy and data protection at their core. Attendees maintain control over their personal information, deciding when and with whom to share it. When used alongside vCard QR codes on badges, the system supports informed consent by making every data exchange intentional and transparent. This approach aligns with GDPR standards, particularly important for events based in or involving participants from the European Economic Area (EEA), ensuring responsible data handling without compromising the networking experience.
Practical Tips for Event Organisers
Integrating QR codesâespecially for virtual business cards and lead captureâcan dramatically enhance attendee interaction and data collection. To ensure strong adoption and engagement, it's important to introduce and promote these features early and consistently. Here are some proven tips to help you get the most out of your event tech:
1. Build Awareness Through Pre-Event Marketing
Donât wait until attendees arriveâstart educating them ahead of time.
Send a series of pre-event emails highlighting how QR codes will be used for networking and lead exchange. Include visuals or short videos that demonstrate how easy and valuable the feature is.
âPosition the QR feature as a key part of the attendee experience to generate interest and familiarity before the event even begins.
2. Empower Your Event Staff
Your on-site team plays a critical role in encouraging adoption.
Make sure registration and front-line staff are trained to introduce and explain the QR code functionality during check-in.
âEquip staff with clear talking points so they can confidently guide attendees on how to use the technology for networking and contact sharing.
3. Use Clear On-Site Signage and Prompts
Visual cues reinforce behavior and help create a seamless experience.
Place eye-catching signage throughout the venue that explains how to scan QR codes and why attendees should use them.
âConsider placing reminders near badge pickup areas, at networking lounges, and near session entrances to ensure visibility at key interaction points.
